Requisition services for Silliman University (SU) offices shifted to a new digitized system implemented by the Business and Finance Office (BFO) starting June 16.
The digitized system allows users to enter request details and generate a printable digital form for obtaining the required signatures and submission to SU offices.
Campus units, offices, and organizations submit requisitions to request cash advances or the procurement of goods and services for events, activities, and other initiatives.
Previously, the process required filling out a physical request form, obtaining a cost estimate from the service provider, and collecting signatures before submission to BFO for approval.
SU Student Government (SUSG) President Zild Jan Teves said the new system allows the submission of costing details online before it is physically submitted to SU offices.
“You have to wait for them to give you the costing before na nimo sha [the form] ma process gyud. But for [the new one] you can already place the cost,” Teves said. “Because everything is here na, pwede na sha namo mapasign diretso and then give it to BFO.”
Teves said that the old requisition process required filling out a physical request form and obtaining signatures from SU offices.
“[The old process took] a longer time because naa man gud times […] it really gets delayed because certain people, for example, they’re not in their office, so they can’t sign it immediately,” she said.
However, Teves said that the SUSG was informed of the platform only after its implementation.
“We were only able to know that there was a new process when we processed the old requisition form. The [Student Organizations and Activities Division] informed us, ‘Oh, we don’t accept that anymore,’” she said.
Teves also said that the 22 SUSG executive committees will use the platform in processing requests for campus events and activities this academic year.
Meanwhile, College of Business Administration Student Council Governor Mia Dominique Go said that their student council is not using the new digital requisition service.
“For us in CBA, we have our own bank account, so all our budget requisitions go through our adviser and dean only,” she said.
The Weekly Sillimanian reached out to the Chief Accountant and the Business and Finance Office, but had yet to respond as of writing.
